Orthopaedic Unit Coordinator

Job Summary:

We're currently seeking an Orthopaedic Unit Coordinator to join our growing practice. Patient service is the top priority for this position. This position is responsible for managing two Physicians’ schedules and working with the Physician’s Assistants. Some duties include, but are not limited to, scheduling surgeries and other procedures, entering data/appointments into our EMR system, preparing paperwork, obtaining prior authorizations, obtaining diagnostic results, and answering/returning patient calls. Must be detail oriented with verifiable skills, medical terminology - orthopaedics preferred, and be able to maintain efficiency and professionalism in a fast-paced environment. Must have proficient computer skills. Experience with Centricity software preferred.

Job Summary:
Provides executive administrative services for Physicians in a private orthopaedic medical practice by using software systems, procedures, and policies, and manages time-sensitive information as part of a fast-paced, energetic team.

Qualifications:
Requires a High School diploma or higher and a minimum one year of verifiable experience in a fast-paced office environment or a combination of education and experience determined to be acceptable.

Knowledge of medical records and electronic medical records software preferred.

Ability to handle large volume of incoming phone calls while entering data into the computer

Ability to deal with interruptions and unrelated details while maintaining progress of daily tasks

Need to have excellent oral communication skills

Must be detail oriented.

Requires professionalism with a high degree of customer service

Exposure to Centricity or related software preferred

Ability to perform all essential functions (see below)

Primary Responsibilities:
Comply with the working and physical requirements that require a full range of body motion including, but not limited to, stretching, bending, lifting, sitting, standing, walking, pushing and pulling. This position requires lifting as much as 25 pounds with occasional lifting and/or carrying objects weighing 50 pounds or more.

Communication:

  • Schedule surgical and other appointments for one to two Physicians

  • Answer large volume of patient calls and voice mail, returning calls in a timely manner

  • Enter data/appointments into a database

  • Prepare reports and other information requested by Physicians.

  • Obtain prior authorizations for procedures from insurance companies.

  • Maintain Outlook Calendar with scheduled appointments and other interoffice information.

  • Maintains confidentiality of patient information in accordance with HIPAA and other State or Federal regulations.

  • Maintain a high degree of customer service providing a professional and courteous demeanor when interacting with patients and staff

Patient Administration:

  • Become knowledgeable enough to answer and return patient calls in a timely manner.

  • Exercise good memory skills in order to quickly and accurately process scheduling requests and provide Physicians with procedural results.

  • Resolves administrative problems by coordinating and analyzing data, and identifying different solutions in a rapid fire environment.

Teamwork:

  • Maintain acceptable attendance and punctuality.

  • Works well as a team member by maintaining professional and technical knowledge and cross-training.

  • Assist other departments when asked, and as workflow allows

  • Assist with general office-wide tasks
